Cancellation Policy

The WIN (Wellbeing, Identity & Nurture) Programme is a 6-week mentoring intervention designed to support students’ confidence, emotional wellbeing, identity and behaviour. By booking WIN, schools agree to the following policy: 1. Programme Delivery WIN includes 6 weekly sessions for up to 20 students. Sessions focus on self-esteem, communication, emotional regulation and personal development. Activities are interactive, age-appropriate and delivered by trained WHTW mentors. 2. Booking & Payment A completed booking form confirms the school’s commitment to the full programme fee. Payment must be made in full or via an agreed instalment plan. Fees are non-refundable once the programme has started. 3. Attendance & Group Size The school is responsible for selecting suitable students and supporting their attendance. Missed sessions cannot be refunded or rescheduled. Group sizes cannot exceed 20 students without prior agreement. 4. School Responsibilities Schools must provide a safe, quiet and appropriate room for sessions, and a designated member of staff as the point of contact. A staff member must remain on-site at all times for safeguarding purposes. 5. Behaviour Expectations Students are expected to participate respectfully. If behaviour becomes unsafe or prevents learning, mentors may remove a student from a session. Serious or repeated issues may lead to removal from the programme. Fees remain payable regardless of student behaviour. 6. Safeguarding & Confidentiality WHTW Mentoring follows UK safeguarding policies. Information shared by students is confidential unless a safeguarding concern arises. Any concerns will be reported directly to the school’s safeguarding lead. No information is shared outside appropriate safeguarding channels. 7. Programme Structure & Adaptations WIN includes baseline questions, weekly sessions, and an end-of-programme summary for the school. Session content may be adapted to meet the needs of the group. Sessions cancelled by WHTW Mentoring will be rescheduled with no extra cost. 8. Data & Record Keeping Basic attendance and safeguarding notes are stored securely in line with GDPR. Schools may request general updates but not detailed confidential notes. 9. Cancellations Schools cancelling before the first session must give at least 5 working days’ notice. Once the programme has begun, cancellations or withdrawals are non-refundable. 10. Agreement Booking the WIN Programme confirms the school’s acceptance of this policy
